Concept

The UNITED for Health (U4H) Days are different from most other exhibitions, in the sense that they are explicitly designed to lead to follow up collaborative activities. On the exhibition ground, there is ample time for visitors (including students and professionals from the health sector) to peruse through exhibitors’ stalls (including health-related organisations or departments within health institutions) to have discussions about opportunities for collaboration. The easiest way to think about the U4H Days is as a ‘Market of Opportunities’. Exhibitors come to ‘sell’ opportunities and visitors come to ‘shop’ for opportunities. As an exhibitor, we therefore invite you to think of the needs that you have as an organisation and formulate these needs in terms of opportunities that people outside of your organisation can take up and resolve. In addition, we encourage exhibitors to make the opportunities they offer to be as concrete as possible, to avoid entering into broad or vague collaborations, but instead focus on realistic actions that can be undertaken. Opportunities therefore can come in many different types.

Examples of opportunities:

  • A research training or clinical training that you offer or are looking to collaborate in offering;
  • An internship for both Rwandan or international students;
  • A Clinical observation of concern for which you have no direct solution (which offers opportunities for impactful Master thesis work);
  • A rich dataset that you don’t have the capacity to conduct a research project about (which offers opportunities for impactful Master thesis work)
  • and more!

The U4H portal (https://unitedforhealth.rw/) is designed to help you describe and share the opportunities that your organisation is offering. Simply go to the website and follow the instructions to upload an opportunity in an easy-to-read format. Once you have uploaded an opportunity, you can share the opportunity yourself using a number of traditional and social media links; and U4H will also share these opportunities for you through their email chains and social media communication channels.

We are organizing a webinar on ‘How to make most of your Exhibition Stand at the UNITED for Health Days 2024’. The webinar will take place on Monday, 11th November 2024 from 3-4PM. A calendar invitation containing the online meeting link will be shared prior to this date.

How to prepare – Content?

Typically, you will exhibit the mission and vision of your organisation, and some of your projects and achievements, as in any normal exhibition. For this event, however , we encourage you to also prepare a number of concrete ‘opportunities’ that you can ‘sell’ to exhibition visitors (See also Section ‘Concept’ for examples of opportunities that you can offer). This will make it much easier to follow up on the opportunity and ensure that the solution gets implemented. We can assist you to upload opportunities before the event (please contact Sumana Dhanani: email – sumana.dhanani@gmail.com, tel – +250 782 763 228 for assistance). Also, during the exhibition setup on November 13, and during the exhibition on November 14-15th, U4H team members will be present to assist you in uploading opportunities on the U4H portal.

How to prepare – Logistics?

  • Date: 14- 15th November 2024
  • Time: 9:00AM – 5:00PM (both days)
  • Venue: University of Rwanda, Remera Campus Football Ground

Exhibition details:

Each exhibitor will have a ‘3 x 3 meters’ sized booth including electricity, one table (0.6 x 2 meters) and two chairs, at no cost. It is possible to request a larger exhibition space: the cost for ‘6 x 4.5 meters’ exhibition space is 300.000RWF for the 2 days; and for a 600.000RWF ‘6 x 9 meters’ exhibition space, the cost is 600.000RWF.

What to bring:

You are free to decorate the space as you please, with items you think will best represent your organisation/department and the opportunities you offer. Examples of exhibition materials:

  • Banners
  • Posters
  • Flyers
  • Screens
  • Demonstration items relevant to your area of work

Lunch

During the two exhibition days, we will provide lunch for two exhibitors. Lunch will be served between 12.00-2.00pm. You can request for additional lunch packages at a rate of 20.000RWF/person for the two days. Exhibition setup

The decoration and installation of the exhibition booths will take place on November 13th. We do not accept decoration and installation of your booth on the exhibition days, November 14 – 15th, as this is likely to disturb your colleague exhibitors (with the exception of setting up TV screens or other valuable materials). We will have our security guards present day and night, but will not take responsibility if your materials go missing. To help you protect your belongings, we will register all materials that you bring on campus upon your arrival and verify upon your departure. We recommend that you bring a metal coffer/box with a lock to secure screens or other valuables overnight.

During the exhibition

The exhibition on Thursday, Nov 14, starts at 9.00am and closes at 5.00pm; on Friday, Nov 15, we start at 9.00am and close at 3.30pm. Registration will take place from 8-9AM on both days. We highly encourage exhibitors to visit other exhibition stands to partake in opportunities, therefore, we recommend each organisation have at least two exhibitors to ensure their booth is never left unattended. At a minimum one exhibitor should always be on location to represent your organisation. As mentioned above, lunch will be provided between 12.00-2.00pm. This will be free of cost for two exhibitors per exhibition booth. Additional lunch packages can be ordered beforehand. Looking forward to seeing you on the UNITED for Health Days!
